SENIOR LEAD INTAKE SPECIALIST
Working under the Lead Hazard Program Manager, the Senior Lead Intake Specialist will oversee the sub-grantee intake staff, as well as serve as the first checkpoint in the HUD grant process. Specifically ensuring that all completed intake files are properly set up, accurate and compliant with all HUD guidelines before any grants are formally submitted. In addition, the Senior Lead Intake Specialist will assist in the completion of environmental reviews, as well as work directly with unit occupants to ensure that housing units remain lead safe once unit remediation is completed. The person in this position must have knowledge of lead hazard exposures, knowledge of LIHEAP and HUD guidelines and regulations, and proficiency with Microsoft Office. A high school diploma is required, a bachelor's degree in a related field, or equivalent experience in intake or housing operations is preferred. This position requires a person with a strong attention to detail, the ability to manage staff, as well as excellent interpersonal skills when dealing with unit occupants and homeowners. Bilingual Spanish ability is preferred.

JOB TITLE: Senior Lead Intake Specialist
DEPARTMENT/DIVISION: Department of Planning & Development
SALARY/HOURS: $20.00/per hour / 40-hour work week
CLASSIFICATION: Non-Union/Non-Classified Plan
POSITION SUMMARY: Working under the Lead Hazard Program Manager, the Senior Lead Intake Specialist will oversee the sub-grantee intake staff and provide direct support for intake operations as needed. This role will serve as the first checkpoint for reviewing all completed intake files, ensuring proper setup, accurate data, and compliance with HUD guidelines, assuring the grant target number of intakes are constantly and accurately being submitted. The Senior Lead Intake Specialist will also assist in completing environmental reviews and will work directly with unit occupants after remediation to ensure units remain lead safe. This position requires strong attention to detail, expertise in HUD guidelines, and a commitment to maintaining safe living environments.
DUTIES & RESPONSIBILITIES:
- Oversee Sub-Grantee Intake Staff: Supervise and support intake staff to ensure accurate and efficient processing of all intake applications both on site and off site. Assuring that files are set up in accordance with program requirements and confidentiality practices.
- File Review: Review completed intake files for proper setup, accuracy of data, and adherence to HUD guidelines. Ensure that all necessary documentation is included and compliant with regulatory standards.
- Environmental Reviews: Assist in completing environmental reviews, ensuring compliance with safety and environmental regulations.
- Lead Safety: Work directly with unit occupants following remediation efforts to ensure that all units remain lead-safe and in compliance with regulations.
- Intake Assistance: Step in to fill the intake role as needed, providing support in processing and reviewing new intake applications and files, and assist the Federal Projects and Lead Hazard Reduction Controller when needed.
- Collaboration: Collaborate with other departments and unit occupants to ensure smooth intake processes and accurate data management.
- Performs other duties as required.
KNOWLEDGE, SKILLS AND PERSONAL QUALITIES:
- High school diploma or equivalent required.
- A bachelor’s degree in a related field or equivalent experience in intake or housing operations is preferred.
- Bilingual preferred.
- Proficient with the Microsoft Office suite.
- Knowledge of the hazardous exposure to Lead.
- Knowledge of LIHEAP and HUD guidelines and regulations.
- Experience supervising individuals and providing training and support.
- Detail-oriented with the ability to analyze and verify data for accuracy.
- Familiarity with the environmental reviews process and lead safety procedures preferred.
- Excellent communication and interpersonal skills for working with staff and unit occupants and homeowners.
- Ability to work independently and manage multiple priorities.
- Ability to prepare clear and concise reports.
- The ability to operate modern office equipment includes but is not limited to a personal computer, calculator, copier, multi-line telephone system. Ability to save the documentation in proper files, and upload files.
- Ability to speak and write effectively.
- Ability to establish and maintain effective working relationships with associates, public, DOH staff, homeowners and unit occupants of different backgrounds.
- Ability to perform other duties as needed and/or required.

PHYSICAL DEMANDS: Work requires some agility and physical strength, such as moving about construction sites, over rough terrain, or standing/walking for much of the workday. Employee is exposed to outdoor work, traffic, loud noises, emotional stress, and risk of personal injury. Duties are largely mental rather than physical, but may require minimal motor skills for activities such as moving objects, operating a personal computer/office equipment, sorting papers, or operating a motor vehicle. Position requires constant reading of documents and reports for understanding. Employee is not required to distinguish colors.
